Basically, here's how it works:
We decided that we would hire a part-time project archivist, working for 20 hr./week 24 weeks total, including training, arrangement, description, and digitization. The archivist will be compensated with a $6,000 stipend upon completion of the project. The $6,000 will be the main contribution from the NHPRC
From there, I'll we look at the expected contribution from the AJA to match the NHPRC funds. I hypothesized that LeeAnn would be a pretty good archivist, with some experience, so she would make at the top of the median 50% of archivists ($60,150 a year before taxes, according to the bureau of labor statistics). I also assumed that she would dedicate approximately 5% of her working hours in the year of 2012 towards this project, for a total of $3,008 from AJA, plus 33% in fringe benefits on that $3,008, which comes to an additional $1,008. So basically AJA is contributing $4,016 in salary to have LeeAnn supervise the project.
The next big contribution from the AJA would be supplies. We would have to buy archival boxes and folders, as well as sleeves for the photographs in the collection. I looked around at a couple suppliers to try to find a good deal. We'll be getting 8 boxes from Hollinger (http://www.hollingermetaledge.com/modules/store/index.html?dept=1&cat=370&cart=132096178230899300 item RSB-18), 300 letter-size folders from Gaylord (http://www.gaylord.com/adblock.asp?abid=1648&search_by=desc&search_for=WW-911A&mpc=WW&catalog=&target=) and 400 3 mil Melinex sleeves with edge seal from Gaylord (http://www.gaylord.com/adblock.asp?abid=12526&search_by=desc&search_for=WW-ESM8103&mpc=WW&catalog=&target= item WW-ESM8103). Total for supplies (plus extra for shipping) is $868.
So at the bottom line, we've got a $6,000 contribution from NHPRC, with current matching of $4,883 from AJA. I will have to find a way to make up the difference between the two, which I believe will probably happen when I start calculating for indirect costs.
